How to Manage Workspaces and Teammates in GTrack

Workspaces and teammates help you organize your work, collaborate efficiently, and keep projects clearly separated inside GTrack.


Why Use Workspaces and Teammates in GTrack?


With workspaces and teammates, GTrack becomes a collaborative platform that scales with your team and your clients.


Workspaces are ideal when you manage:

  • Multiple clients or locations
  • Different brands or internal teams
  • Separate SEO projects that should not be mixed


Each workspace keeps scans, scheduled scans, and settings organized.

All scan credits and AI tokens are shared across your account and visible as a single total balance.


ℹ️ Important - Workspace billing
Each additional workspace is a paid add-on and is billed as a separate GTrack subscription.
When you create a new workspace: An invoice is generated immediately, prorated for the remainder of your current billing period: From the next billing cycle, each workspace is billed at the full plan price.
This means that every workspace is billed individually.
For example, if you are on the Business plan and add 2 additional workspaces, you will be charged the Business plan price three times each billing period.
All workspaces share the same scan credits and AI tokens, but billing is calculated per workspace.



Teammates allow you to collaborate with colleagues, clients, or partners:

  • Share access without sharing login credentials
  • Assign roles based on responsibility
  • Control who can invite others or manage access


Follow these steps to access your workspace and manage teammates in GTrack.


👥 Teammate limits per plan. The number of teammates you can invite depends on your current GTrack plan.- Starter plan: No teammates - Advanced plan: Up to 2 teammates - Business plan: Up to 5 teammates -Pro plan: Up to 10 teammates



Step 1: Open Your Workspace Selector

  1. Log in to your GTrack account.
  2. From the left sidebar menu, locate the workspace section at the top.
  3. Click Default Workspace to open the workspace selector.
  4. Select Manage Workspaces.

Step 2: Manage Your Workspace and Teammates

After opening Manage Workspaces, you can control everything related to your workspace from this screen.


  1. Click Create Workspace to add a new workspace.
  2. View your Default Workspace, including its current name and status. Use the edit icon to change the workspace name or description.
  3. Review all team members assigned to this workspace.
  4. Click Invite to add a new teammate by email.


Step 3: Create a New Workspace

From the Manage Workspaces screen, you can add additional workspaces to your account.


  1. Click + Create Workspace.
ℹ️ Creating a new workspace is a paid feature. When you add an extra workspace, an invoice will be generated automatically.

Each new workspace works like an additional GTrack account under the same subscription:
- Scan credits and AI tokens are shared across all workspaces
- Credits are shown as a single total balance
- Usage in any workspace deducts from the same shared pool


  1. Select the quantity of workspaces you want to add.
  2. Enter a Workspace Name.
  3. (Optional) Add a Description to help identify the workspace.
  4. Click Create to continue.



  1. After clicking Create, an informational message will appear explaining the billing details.

Review the message and click Continue to Payment.



  1. You will then see a confirmation popup showing the prorated amount to be charged for the remainder of your current billing period.

Click Continue to Stripe to complete the payment.


Step 4: Invite a Teammate to Your Workspace

You can invite team members to collaborate within a workspace.


  1. Click the Invite button in the Team Members section.
  2. Enter the teammate’s email address.
  3. Select the role for the teammate: Member or Admin
  4. Click Send Invite to send the invitation.



Teammate Roles Explained


Admin

  • Has the same access to GTrack features as the workspace owner.
  • Can invite new teammates to the workspace.
  • Cannot access billing details.
  • Cannot purchase additional scan credits or AI tokens.


Member

  • Has access to all GTrack features and to the invited workspace only.
  • Can create scans but does not have permission to delete them.
  • Cannot manage billing or invite additional teammates.
  • Cannot purchase additional scan credits or AI tokens.
  • Cannot invite new teammates to the workspace.


Step 5: Pending Invitations

After sending an invite, the teammate will appear under Pending Invitations.


  1. A confirmation popup will appear after the invitation is sent.
  2. The invited teammate will be listed with their email address and assigned role.
  3. You can see who sent the invitation and the expiration date.
  4. Click Rescind to cancel the invitation if needed.


Step 6: Accept a Workspace Invitation

When a teammate is invited, they will receive an email from GTrack.


  1. Open the invitation email and click Accept Invitation.
  2. If the button does not work, copy and paste the invitation link into your browser.


  1. Review the workspace details, assigned role, and inviter information.
  2. (Optional) Update your first and last name.
  3. Click Accept Invitation to continue.



  1. After accepting the invitation, you will be redirected to the GTrack dashboard.
  2. Once logged in, you will see your name and the Account Owner’s email address.
  3. You can start working immediately, including running scans, managing scheduled scans, and generating reports.


Step 7: Manage Teammate Roles and Access

Once a teammate accepts the invitation, they will appear in the Team Members list.


  1. You can see that the invitation has been accepted when the teammate appears under Team Members.
  2. Use the role dropdown to change the teammate’s role between Member and Admin.
  3. Click Remove to revoke the teammate’s access to the workspace at any time.

GTrack workspaces allow you to organize your projects and collaborate with teammates efficiently. You can create additional workspaces, invite team members, assign roles, and manage access at any time.


Workspace owners can control workspace settings, billing access, and teammate permissions, while admins and members can collaborate on scans and insights based on their assigned roles. All scan credits and AI tokens are shared across workspaces, giving your team full visibility and flexibility when working in GTrack.
