GTrack How to Share a Scheduled Scan Report
Google Maps Rank Tracker | How to Share a Scheduled Scan Report
Easily share your scheduled scan results with your team, clients, or collaborators using GTrack’s Share Scan feature. This allows others to view scan results even if they don’t have a GTrack account.
✅ Step 1: Go to Scheduled Scans
From the GTrack dashboard sidebar, click Scheduled Scans.
This will open the Scheduled Scans page, where all your automated scans are listed and managed.

📤 Step 2: Click the Share Scan Icon
You’ll see a list of all your Scheduled Scans.
Find the scan you want to share and click the Share icon (upward arrow) on the scan card.
This will open the Share This Scan popup, where you can generate a public share link for that specific scheduled scan.

🔗 Step 3: Copy the Share Link
In the Share This Scan popup, click the Copy button.
This copies the public share link to your clipboard.
You can now share this link with anyone, and they’ll be able to view the scheduled scan results in real time.
If you have Whitelabel enabled, the link will automatically use your custom whitelabel domain.
📌Once copied or confirmed, the share URL will be automatically saved in your Manage Shared URLs section - so you can access, manage, or delete any shared report later.

⚙️ Step 4: Manage Shared Links
To view and manage all your active share links, click the Manage Shared URLs button.
This will open a list of all previously generated links for your scheduled scans.
Each shared scan entry includes:
- Business Name – the business the scan belongs to
- Created Date – when the share link was generated
- Share URL – the public link you can send to clients
From here you can:
- Copy the link again
- Open the link in a new tab
- Delete the link if you no longer want it to be accessible
🔗 Whitelabel Links:
If you have Whitelabel enabled, the shared URLs will automatically use your custom domain. This makes the report look fully branded for your agency.

✅ Tip: Delete shared links once they are no longer needed to keep your scan sharing secure.

🗺️ Step 5: Shared Scan Results Overview
When someone opens your Shared Scan link, they’ll land on a fully interactive report page that includes:
👤 Business Information
At the top left, your business name, contact details, and logo/branding (if Whitelabel is enabled) are shown, making the report look professional for clients.
✅ Keyword Selector
At the top of the page, viewers can switch between keywords used in the scheduled scan.
Each keyword shows its average ranking in parentheses.
This helps analyze visibility keyword by keyword.
📆 Date Selector
Right below the keyword dropdown, there’s a scrollable scan history.
Viewers can click any date to see the scan results for that day.
- Completed scan dates are marked in green
- The latest completed scan is selected by default
🗺️ Ranking Map View
The interactive grid map displays your rankings across the selected area.
- Each pin shows your business’s position for the chosen keyword
- Clicking on a pin reveals detailed Google results for that spot


📊 Step 6: Business Comparison Tab
Inside the Shared Scan report, viewers can switch to the Business Comparison tab.
This section compares your business performance against competitors in the scanned area.
What’s included:
- List of businesses detected in the scan area
- Ranking positions for each competitor
- Visibility metrics such as:
- Best position achieved
- How many times the business appeared in the Top 20
- Overall visibility percentage
On the right side, the interactive map updates to show how each business ranks across the grid.
This makes it easy for clients to see not only their own rankings but also how they perform compared to local competitors.

📑 Step 7: Scan Analysis Tab
The Scan Analysis tab provides a deeper breakdown of your performance, competitor benchmarks, and market trends.
This section is especially useful for client reporting and agency insights.
📌 1. Executive Summary
- Average Ranking – Shows your overall average rank across all grid points
- Rating Comparison – Compares your Google rating with the average competitor rating
- Grid Coverage – Displays the grid size (e.g., 9x9) and area covered in km²
- Key Insights – Highlights competitor count, top 3 and top 10 visibility, and market position strength

📌 2. Competitive Landscape Overview
- Business Addresses – Number of competitors with full addresses
- Website Presence – How many competitors have websites or social media
- Review Volume – Number of competitors with significant review counts
- Competitor Market Insights – Key notes like dominant competitors, high-rating leaders, coverage percentages, and most common categories

📌 3. Performance Matrix
- Compares your business directly against top competitors
- Columns include:
- Average Rank across the grid
- Appearances (how many locations you show up in)
- Top 3% presence
- Ratings & Reviews count
- Market Share % – based on scan coverage

📌 4. Category Analysis
- Groups competitors by Google Business Profile categories (e.g., Supermarket, Cafe, Bakery)
- Shows how many competitors exist in each category
- Lists the top competitors per category with their rankings
- Helps identify category-level competition and positioning

👉 Together, these insights provide a complete competitor analysis, making it easy to understand strengths, weaknesses, and opportunities in the local market.
🏆 Step 8: Top Competitors Tab
The Top Competitors tab gives a focused analysis of the main businesses competing with you in the scan area.
This is where you can understand which competitors dominate visibility, how strong they are, and what makes them stand out.
📌 1. Competitor Overview
- Total Competitors – Number of unique businesses found in the scan
- Average Rating – Competitors’ average Google rating
- Websites & Phone Numbers – Percentage of competitors with contact details
- Key Competitive Insights – Highlights the strongest competitor, the most common categories, review leaders, and website/phone availability

📌 2. Appearance Frequency
- Bar chart showing how often each competitor appears in search results across the grid
- Example: The Smart Bakery appears in 100% of search results
- Helps identify market leaders who dominate visibility

📌 3. Detailed Competitor Breakdown
- Full competitor list with detailed stats:
- Ranking Frequency (% of times they show up)
- Average Ranking across the grid
- Rating & Review counts
- Top 3 & Top 10 visibility
- Contact info (website, phone)
This breakdown shows not only who your top competitors are, but also how they perform and where they have weaknesses.

👉 Together, the Top Competitors tab completes the competitive analysis, giving businesses clear insights into which rivals they should monitor most closely.
📤 Step 9: Export & Extra Report Options
At the top of every Shared Scan report, viewers can access additional reporting tools:
- 📊 Rankings – Opens a detailed table of all keywords and rankings
- 📈 Progress – Shows ranking trends over time, helping track improvements or declines
- 📉 Compare – Allows comparison of multiple scans (useful for spotting changes across dates or different businesses)

📑 Step 10: Rankings Report
The Rankings Report gives a complete timeline of how your keywords perform across all scheduled scans.
This helps track changes over time and spot ranking improvements or declines.
What’s included:
- Keyword List – All the keywords being tracked in your scheduled scan
- Current Ranking – Shows your latest average position for each keyword
- Change Column – Indicates positive or negative movement since the last scan
- Trend Graphs – Small line charts that visualize performance history for each keyword
- Daily Ranking Data – Each scan date is shown in a table format, so you can review exact positions on any given day
Filters available:
- Last 7 days
- Last 28 days
- Last 3 months
- Custom Range
- All Time view
Export Options:
- Export CSV – Download all ranking data for deeper analysis or client reporting

📈 Step 11: Progress Report
The Progress Report shows how your rankings have evolved over time, giving a clear picture of long-term performance.
This report is ideal for tracking SEO improvements and presenting results to clients.
What’s included:
- Average Ranking Over Time Chart – A line graph that plots your ranking history day by day
- Best Ranking – The highest position achieved during the selected period
- Latest Ranking – Your most recent ranking result
- Total Scans – Number of scheduled scans completed
- Time Period – The total duration covered in the report
How to use it:
- Quickly identify trends, spikes, or drops in performance
- Show clients how visibility has improved thanks to your optimization efforts
- Demonstrate ranking stability or growth across weeks and months

👉 The Progress Report is especially useful for reporting ROI to clients by showing clear ranking improvements over time.
📊 Step 12: Compare Report
The Compare Report allows you to analyze ranking performance across multiple scan dates.
This is especially powerful for showing improvements or spotting ranking changes over time.
📌 1. Select Dates to Compare
- Choose 2 or 3 scans from the calendar
- Dates with available scans are highlighted
- Click Compare Selected to generate the comparison report

📌 2. Map Comparison
- Side-by-side maps show how rankings changed across the selected dates
- Each pin represents your position for that keyword on the specific date
- Helps visualize ranking improvements or declines across the entire grid

📌 3. Detailed Comparison & Insights
- Detailed Table – Lists each compared scan with:
- Business name
- Keyword
- Scan type
- Average ranking
- Grid size and coverage
- Scan date
- Performance Insights – Highlights:
- Best ranking vs worst ranking
- Ranking spread (difference between scans)
- Top performer during the period
